Jon Guttman · AI systems builder

AI systems that make your business work better.

I help businesses automate repetitive work, connect the tools they already use, and build practical AI systems around the way their teams actually work.

Practical AIReal automationLess busywork

7 things someone has to remember

The problem

Turn everyday busywork into automatic next steps.

Each manual task below has a clear automated outcome. Your team stays in control, with less copying, checking, and chasing.

  • Your team todayCopy a new lead into the CRM.
With automationThe lead is already in your CRM.

A form submission creates the contact and deal, with the details in the right fields.

  • Your team todayRemember to send a follow-up.
With automationThe follow-up goes out on time.

A scheduled message goes out if the customer hasn’t replied. A reply stops the sequence.

  • Your team todayKeep checking the inventory sheet.
With automationLow stock brings an alert to you.

The system watches stock levels and notifies the right person when an item needs attention.

  • Your team todayAnswer the same customer question again.
With automationRoutine questions get an immediate answer.

An assistant uses your approved information and hands anything unusual to your team.

  • Your team todayRemember to notify the next person.
With automationThe right teammate gets the details.

When a job changes hands, a notification includes the context needed to keep it moving.

  • Your team todayBuild the Friday report by hand.
With automationThe finished report lands in your inbox.

Your numbers are collected and organized on a schedule, ready for your team to review.

Those aren't people problems. They're system problems.

Most businesses don't need another piece of software. They need the software they already pay for to work together, and to stop depending on someone's memory.

If someone on your team copies the same information into three different places every day, I'd like a word with that workflow.

What I build

Useful systems, sized to the problem.

Sometimes that's an AI assistant your customers talk to. Sometimes it's a twelve-step automation nobody ever sees. Usually it's a bit of both.

AI assistants

Assistants for your customers and your team that answer from your information, in your voice, and hand off to a person when they should.

question → your knowledge → answer or handoff

Automations

The things that should happen every time, done every time. Nobody has to remember, and nothing slips on a busy day.

something happens → rules → done

Connected systems

Your CRM, inbox, point of sale, calendar and spreadsheets passing information to each other, instead of through someone's copy and paste.

form → CRM → Slack → sheet

Knowledge systems

What your company knows, pulled out of docs, email and old Slack threads, and made searchable in plain language.

ask → search everything → answer + source

AI communication

Intake, follow-ups, reminders and customer messages that go out on time and still sound like a person wrote them.

new inquiry → reply in minutes → follow-up on day 3

Custom tools

Small, purpose-built apps for the gaps no off-the-shelf software quite fills. Built for your team, not for a thousand other companies.

The best version of this is technology your team barely notices. Nobody has to learn a new dashboard or remember a new login. They ask a question where they already work, get the right email at the right time, glance at a summary. The system does the rest.

How it works

Your business, understood. Then automated.

No six-month roadmap. Four steps, in this order, every time.

  1. Step 1

    Understand

I learn how your business actually runs. Not the org chart version. The real one, with the sticky notes and the spreadsheet only Maria understands.

  2. Step 2

    Find the friction

Where does work get repeated, stuck, or lost between tools? That's usually where the first real win is hiding.

  3. Step 3

    Build

I build the automation or AI system around the way your team already works, rather than asking your team to work around the system.

  4. Step 4

    Improve

We look at what it's doing, measure what changed, and keep tuning. A good system gets better the more it's used.

Example workflows

What this looks like on a normal Tuesday.

Five common workflows, shown with illustrative data. If one of them sounds like your week, that's a good sign.

Every business is a little different, so none of these come off a shelf. They're starting points for a conversation.

    About Jon

Built by someone who actually works this way.

I didn't come to automation through a computer science program. I came to it from inside businesses: selling, helping customers, merchandising a floor, fixing the tech when it broke, and eventually rolling out AI for the teams I worked with.

That's where I learned the thing that shapes all of my work. Most technology disappoints because nobody looked closely at how the work actually gets done. So that's where I start.

I'm not interested in adding AI for its own sake. I'm interested in the moment someone on your team does the same thing for the fortieth time, and I get to ask: “Why are we doing this manually?”

    MIKA

    Mission Intelligence & Knowledge Agent

My virtual assistant, built around how I work.

Mika talks with callers about what they need, explains my work, and can send relevant guides and a personal questionnaire. I designed her conversation flow and connected it to email and my client workspace, so I can follow up with the context already in place.

    What it demonstrates

    • Conversational intake
    • Relevant email follow-up
    • Guides & questionnaires
    • Connected client records

    weed.menu

    weed.menu ↗

An AI-powered customer experience and business operations platform for cannabis retailers.

It started with a simple promise to shoppers: your taste, understood. At the center is Sage, an AI guide that helps people find what's right for them and gives budtenders smarter tools behind the counter. Around it sit the integrations, knowledge, messaging and insights that help a store run well. It turns out that same idea works for any business: understand it first, then make the complicated parts easy to talk to.

    What it demonstrates

    • AI customer assistance
    • Knowledge systems
    • Business integrations
    • Automated communication
    • Custom interfaces
    • Operational insights

    Custom kiosks

    Hardware and software, designed together.

I'm designing kiosks with custom hardware and software, bringing my work beyond the browser and into physical spaces. My hands-on hardware work also includes ESP32 development kits.

A different kind of AI consulting

You don't need an AI strategy deck.

You probably need one annoying thing to stop being annoying.

So that's where we start. One clearly scoped project that saves real time. If it works, and you want more, we pick the next one.

    Under the hood

For the curious. You don't need to know what any of these are before we talk. That's my job.

Tell me what it is. We'll figure out together whether it can be automated.

No sales sequence. I read these myself and reply personally. (Yes, I see the irony.)
